Sustaining operational consistency and brand voice

Bruna is a freelance mentor with an ecosystem of low-to-high-ticket digital products. We have been working together for over 18 months. During this time, her Instagram profile grew from 6,000 to over 30,000, aligning with a shift in her business strategy from launch-based cycles to continuous organic sales.

CASE 1:

The Challenge

The main operational bottleneck was a lack of posting consistency and the need for micromanagement with the previous team, with no calendar integrations. Bruna was constantly chasing deliverables, which created unnecessary stress and unpredictability in her workflow.

Solution

Bruna already had a vision of what she wanted, so I implemented an approval system with a calendar, maintaining what worked while introducing a more predictable cadence. I took full ownership of the content workflow, shifting to a monthly planning structure and ensuring the calendar was finalized well ahead of time. Additionally, I successfully helped in the implementation of monday.com, an operational migration of her entire ecosystem from ClickUp.

Results

The most significant outcome has been the level of predictability and peace of mind Bruna secured in her daily routine. She no longer needs to track deadlines, confident that her content pipeline remains consistent and on track. Behind the scenes, the operation seamlessly adapted to both a new management platform and a transition to an organic sales model, providing a stable foundation that supports her ongoing growth in both audience and revenue.

Joyce is a psychologist focused on supporting women living outside of Brazil. We have been working together for 11 months. When I took over the project, she was struggling to maintain a consistent posting schedule due to work overload. Her primary goal in bringing me on board was to outsource content production and management, freeing up her schedule to focus on her core clinical work.

Process structuring and operational efficiency gains

The Challenge

The main operational bottleneck was a lack of consistency caused by juggling too many roles. In addition to managing her practice and handling all the administrative tasks of her business, Joyce was overwhelmed by the technical production of her content and podcast, which, at the time, was audio-only, minimally edited, and limited to a single platform. This heavy workload stalled her digital growth and capped her capacity to take on new patients.

Solution

While respecting the workflow Joyce already had in place, my initial focus was to suggest strategic improvements and elevate the quality of deliverables. I introduced new content formats on Instagram and drove the transition of her podcast into a videocast, expanding distribution to YouTube and major streaming services. To better organize the approval routine, I restructured her Trello, making her board more visual, intuitive, and practical. The schedule was adjusted to transform Joyce’s weekly recordings into finalized deliverables, ensuring everything was ready well ahead of publication dates.

Results

This operational intervention helped her Instagram account grow from around 11,000 to over 17,000 followers with guaranteed posting consistency, while the podcast reached a new level of audience reach and visual professionalism. The most significant impact, however, was the predictability and peace of mind it created for her. Knowing that everything goes live on time without her needing to touch the technical execution allowed Joyce to reclaim valuable hours in her routine, achieving her original goal of expanding her client base at her psychology practice.
